Recording retention
The policy for how long a recording is kept, where copies exist and what happens when the retention period or a legal hold ends.
Use this definition in team training or when clarifying a sales note.
Definition
Recording retention covers more than an expiry setting on an audio file. A policy identifies the original, transcripts, downloaded copies, backups and the people who can access them. It also names who owns deletion and how exceptions are recorded.
Do not infer a universal retention period from a call’s existence. The appropriate schedule depends on the purpose, contract, jurisdiction and any sector rules or legal hold. Ask the responsible reviewer to document those requirements before setting an automatic deletion period.
Why it matters
Retention concerns what happens after capture. A recorded-line notice concerns what the participants hear at capture; it does not establish that every stored copy follows a policy. Test deletion and access changes with synthetic recordings so that the receipt can be checked without exposing a customer conversation.
