Follow-up gaps · calls and texts

Follow-up promised.

The rep tells the customer they will do something and come back to them, such as check a payoff, find a color or send numbers.

"Let me check with my manager on that payoff and get right back to you."

What it sounds like. Synthetic example.

Why it matters

Promises made on a recorded call are the store's word, and the customer keeps score even when the CRM does not. A broken promise is worse than a slow answer, because the customer reads silence as avoidance and assumes the news is bad. These are also the cheapest trust-building moments a store has, since most of them take a rep three minutes and a walk to the desk.

What to do next

Capture the promise as a task with a name, a due time and the exact thing that was promised, in the customer's words. If the answer is not ready when the clock runs out, send the update anyway and say when it will be. Managers should work this list directly, because a promise made in the rep's voice can still be kept by the desk.

How to coach it

Play the promise, then read the CRM note next to it out loud. Reps hear the mismatch immediately. The habit worth building is promising less and delivering visibly, so coach the wording down to something specific and small that they can finish before the shift ends.

Questions about this signal

Does a follow-up promised mean the follow-up happened?

No. It marks the commitment made in the conversation. A completed follow-up is not established by a signal.

What should a rep do when the answer is still not ready?

Send the update on time anyway with a new time attached. Customers forgive a delay much faster than they forgive silence.

Can a manager work this list instead of the rep?

Yes, and on a busy day it is often the better call. What matters to the customer is that the promise was kept by the store.
